Updates Coming to QuickBooks Payroll Workforce!

If you are using QuickBooks to pay your employees, there are some changes coming to the QuickBooks Workforce on October 17 that we would like to let you know about. Quickbooks sent out an email last week with some changes they are making to Workforce. Basically, your employees will soon be able to make changes to certain fields in their payroll profiles.

It is always important to make sure the correct W-4 information is recorded and that the correct address is on file in payroll for all W-2s that will go out in January 2023 so this is perfect timing! Most employees have already been invited to Workforce so in most cases there is no action to take.

Here is the information from QuickBooks on the upcoming changes to Workforce.


All updates will sync up seamlessly with your QuickBooks Payroll account. There's no setup required and it's free with your QuickBooks Payroll subscription.
How it works

  • Employees can make updates to their name, address, gender, date of birth, and tax withholding themselves in QuickBooks Workforce.

  • Employees won't be able to edit their SSNs.

  • Employees won't be able to edit their bank account information now but will be able to do so at a later date.*

  • You'll get an email notification when an employee makes an update. We'll make sure you know if there is any action needed on your end.

  • You can choose which data employees can edit by opting-out of some (or all) of these fields at any time in your payroll settings.

  • If your employees don't have a Workforce account, you can invite them to create one by selecting "Invite to Workforce" under the Payroll Tab in QuickBooks.

What comes next

  • Your employees will be able to make edits starting after October 17.

  • In the coming months, we'll be adding the ability for employees to update direct deposit bank account information.
